Please note: these terms and conditions apply for in-house sessions only. For sessions held by external providers please consult that provider's terms and conditions.

By booking or attending any in-house session, class, workshop, training or event at The Wellbeing Within, you agree to the following terms and conditions:

Bookings

All sessions must be booked in advance via our website/booking system. Spaces are allocated on a first-come, first-served basis. Entry cannot be guaranteed without a confirmed booking.

Equipment is provided where required for sessions unless otherwise stated, but anything else needed for your session must be requested in advance.
We ask that all attendees arrive at least 10 minutes before their session as the doors are closed a few minutes before the start time to allow the session to start on time
If you are unable to attend or are running late, please notify us as soon as possible.
We aim to keep our pricing fair and transparent. Fees, packages and services may be updated from time to time to reflect business needs.

Wellbeing, Conduct & Community

Inclusivity, safety and respect are central to our space.

Our services are open to all, regardless of gender, ethnicity, age, sexuality, religion, culture, body size, shape or ability.
In house sessions provided at The Wellbeing Within Space are for ages 16+, unless specified otherwise. For sessions provided by external providers, please contact them directly to clarify any age restrictions
Discrimination, abusive language, aggression or inappropriate behaviour will not be tolerated.
We reserve the right to refuse entry or remove any individual whose behaviour is deemed unsafe, disruptive or unsuitable.
We also reserve the right to ensure our staff and practitioners feel safe and supported in their working environment.

Property & Equipment

Personal belongings are brought to sessions at your own risk. We cannot accept responsibility for loss or damage.
Any equipment provided must be treated with care. Damage caused through misuse may result in a replacement charge.
As our studio is situated within a residential setting, we kindly ask all visitors to be respectful and considerate of our neighbours upon arrival and when leaving the premises.

Cancellations & Refunds

We operate a minimum three hour cancellation window for all in-house classes only. These must be made online via the booking method/website. Alternatively you can reschedule to a different date.
For classes held by external providers please consult their terms and conditions when cancelling a session
If you have a Studio Pass, late cancellations (made within the 3 hour window before a class begins) will still be deducted from your pass as if you attended.
If you have a Studio Pass and cancel before the 3hr window then the session will not be deducted from your pass
If you fail to attend your class, this will be deemed as a NO SHOW and you will not be entitled to a refund. If you have a Studio pass, your pass will be deducted as if you attended the session. If you are a continual no show, we will charge you a £5 fee for each occasion.
Late arrivals will not be admitted after the session start time has begun and will be recorded as a No Show. No refunds or transfers are available for No Shows.
In House workshops, retreats and events have a 24 hour cancellation period and are non-refundable unless cancelled by The Wellbeing Within Space. If you cancel before this period, refunds will not be given- instead you will be given options to transfer to another session or to receive a credit coupon to use on other services provided in house at The Wellbeing Within Space.
For all external workshops, retreats and events please consult that providers own Terms and Conditions.
Refunds in exceptional circumstances are at our discretion and may be subject to an administrative fee (for refunds over £30).
Studio Passes may be extended for a small fee or gifted to another person. Please contact us directly to discuss options.
Promotions and subscriptions cannot be combined with other offers, amended or frozen unless stated otherwise.
Gift vouchers are non-refundable.

Wait list

If a session is fully booked, you may join the wait list.
If a space becomes available, you will be notified by text and/or email that you now have a place on the class
If you can no longer attend, you must remove yourself from the wait list to avoid cancellation charges.

Client Forms, Waivers & Medical Information

All required booking forms and medical questionnaires must be completed before attending your session
By attending, you acknowledge that some services involve physical movement, therapeutic practices or holistic modalities that may carry inherent risk.
You confirm that you are medically fit to participate and understand any relevant contraindications.
It is your responsibility to inform us of any injuries, medical conditions, pregnancy or changes to your health before attending.
The Wellbeing Within and its practitioners accept no liability for information not disclosed. Participation is undertaken at your own risk.
We are registered with the ICO and treat your data sensitively and confidentially. Please consult our Privacy Policy for information on how your data is stored and managed.

If you are unwell, including symptoms of Covid-19 or other contagious illness, you must not attend and should only return once fully recovered.

While we maintain high standards of hygiene and safety, attendance and participation remain at your own risk.

By booking or attending any class, workshop, training or event, you agree that The Wellbeing Within Space is not liable for injury, illness, loss or damages arising from participation, except where caused by proven negligence.

CCTV & Security Cameras

For the security of our premises, staff and visitors, CCTV cameras (Ring) are installed in the Studio hall, Reception area and the Nurture Room. There is also a video doorbell which records arrivals to The Wellbeing Within Space.

When the building is unoccupied and the alarm is armed, all internal cameras (Studio hall, Reception and Nurture room) are active and record video.
When the building is occupied and the alarm is disarmed, only the Reception area camera is active. This camera records visual footage only, with no audio, and is used for security and monitoring purposes.
The Studio hall and Nurture room cameras do not record while the building is occupied and the alarm is disarmed.
Footage is stored securely and only accessed where necessary for security, safety or incident-related purposes.
Footage is retained for 30 days and then automatically deleted, unless required for an ongoing investigation or legal matter.

Photography & Social Media

From time to time, we may take photographs or videos at The Wellbeing Within Space for marketing and social media purposes.

We do not include any images or footage of clients unless express permission has been given beforehand.
If you are happy to be included in photos or videos, we will ask you to confirm this with us directly.
You may withdraw your consent at any time by contacting us at hello@thewellbeingwithinspace.co.uk, and we will remove any relevant images or footage from future use where possible.
Consent given for one session or event does not automatically carry over to future sessions; we will ask again as needed.
